Here are the descriptions for the Parent Organization committees and support roles. There is something for all to do to help make Scottsdale Prep a great school.

Carpool Committee

The car pool committee is a free service provided by the PO and is responsible for assisting parents with finding other parents in their area in order to facilitate carpools for students. Please send an e-mail including your name, your student(s) grade,  phone number, e-mail, and full address. Once we have that information you will be added to the carpool map and a link to the map will be sent to you in order for you to locate and contact people near you that are also interested in participating in a car pool.

Community Ambassador

This committee will have three primary functions. First, to serve the needs of families in critical times, such as a family illness or death, by offering assistance with meals, carpooling, etc. Second, we will reach out to our neighboring properties to ensure that we are ambassadors of good will by making treats at the beginning of the year and establish and maintain a good relationship as it isn’t easy to have an office next to any school. Finally, on special occasions, we may be asked to assist the administration in welcoming esteemed guests or prospective faculty to the school by providing a welcome treat or basket.

Fund Raising

This committee is responsible for coordinating corporate dollar for education programs. The Booster/Fundraising Committee has several easy ways to bring dollars into our classrooms and clubs — Box Tops 4 Education, Campbell’s Labels for Education and eScrip.

Each will take literally minutes of your time and will result in a considerable return.

Hospitality Committee

 The hospitality committee is responsible for providing refreshments for various school and social events throughout the school year.  Examples include dropping off a case of water or baking a dozen cookies. Occasionally, there are requests to serve the refreshments.  Requests for refreshments are communicated through email.  There is opportunity for all levels of involvement. This committee is perfect for the volunteer who wants to make a difference but is unable to attend meetings.

Lunch Program Committee

Participating in this committee will provide you with a wonderful opportunity to see your child interacting with their friends during their lunch period at school, as well as to enjoy the smiles from all of the grateful kids that benefit from this program.

Scottsdale Prep currently has a joint lunch committee with 2 co-chairs. The first coordinator is responsible for negotiating with the vendors, orchestrating the menus, downloading onto Orderlunches.com, send weekly orders to vendors and printing up daily orders for parent volunteers to hand out food . There are opportunities for behind the scenes work during evening hours for those who work during the day, and are unable to serve lunch.

The second coordinator is responsible for scheduling parent volunteers to serve the lunches to the students 5 days a week. Volunteers decide how often they wish to help at school. Lunch service hours are from approximately 10:00am to 1:00 pm. Committee to be placed on the schedule.

Middle School Social Events

The middle social committee (grades 5 through 8) will plan, organize and host the middle school’s social events, the details of which are yet to be determined. This may include ice cream socials, ice skating parties, and other socials throughout the school year. The middle school social committee will be responsible for selecting a location, planning, decorating, collecting fees, as needed, and clean-up responsibilities. Assistance may be needed with chaperones, refreshments and other responsibilities that go along with socials. Once again, this is a great opportunity for parents who work during the school day and still want to be involved in their child’s academic and social life.

Newsletter Committee

Our production schedule is nine times every school year, starting with the month of August and ending with the month of May (August, September, October, November, December/January, February, March, April and May). The holiday issue will be combined into a December/January bi-monthly issue. We do not publish a January issue.

Scottsdale Prep and the Parent Organization will contribute to the newsletter. Newsletters will be produced and sent via e-mail. This committee will be in contact with the school staff and PO Executive Board to obtain information pertinent to the families. Once the newsletter is drafted it will be submitted to the Headmaster and PO President/Vice President for approval.

Office & Bookstore Volunteers

Volunteers are needed on a monthly, weekly, and daily basis as well as for special projects. Volunteers may be needed to make copies, help with filing, or cover the lunch hour for our office manager. Twice a year we need help prepping, distributing, and collecting our depository books. If you are interested in volunteering with office or bookstore needs, please send us an e-mail.

Snowstorm Program

The Snowstorm Program collects monetary donations, and then disburses the money among the faculty and staff before the holidays. Participation in this program is optional but is highly recommended as the best way to honor them. More information will be coming but we wanted to let you know early how you can give back in the biggest way possible to the teachers and staff at Scottsdale Preparatory Academy!

Teacher Appreciation

This committee provides refreshments in the teachers lounge to demonstrate our appreciation and recognition for the teachers’ commitment to our children. The committee would like to sponsor a monthly luncheon for the teachers, oftentimes coordinating with early release days during which the teachers will be staying for faculty meetings. Additionally, the teacher appreciation committee will make surprise visits to the school to drop off breakfast treats in the morning approximately once per month (not on the same day as the teacher appreciation luncheons), and will coordinate these with the Teachers Birthdays Committee to avoid overlap with a teacher birthday celebration.

The Teacher Appreciation Committee would like to have teams of two to four individuals to host the monthly luncheons, which means that several volunteers are needed for this committee. Your involvement can be as little as agreeing to drop off two dozen donuts or bagels on a surprise morning or hosting one or two luncheons during the year or contributing food, beverages or paper good items for a teacher appreciation luncheon. This is a great committee for friends to do together, so if you know someone who would be willing to host a luncheon with you, please convince them to sign-up as well, as it will make the luncheon much more enjoyable and easy to coordinate.

Teacher Birthday Celebration

The teacher birthday celebration committee will develop and implement a program to recognize teachers and staff members on their birthdays. The recognition may involve a small gift or gift certificate ($15 to $20); providing a snack or cake on the agreed upon date; and a birthday card signed on behalf of the Scottsdale Prep. Parent Organization. This celebration need not be anything elaborate; ideas that other schools have used include providing bagels and cream cheese; a sheet cake from Costco; a veggie or fruit tray for the more health conscience staff; or a tray of cookies, brownies or treats for the teacher to share with the remaining staff.

Traffic

Our traffic committee members work with the faculty and Scottsdale Prep to assist each morning and afternoon (rain or shine) to ensure that our students cross safely into the school, and serve to enforce the strict mandates imposed by the City of Scottsdale on ingress and egress from the school; parking ; and drop-off and pick-up procedures. We are in desperate need of volunteers. If we can get 30+ volunteers, each person would only need to fill one time slot every other week (either morning from 7:10 to 8:05) or afternoon (from 3:10 to 4:05). It is a great way to start your day by welcoming fellow families in the morning, or in the afternoon, to help out while you let your student visit with friends or stay and get some help with tutoring. Used School Uniform Sales / Exchange

What a great opportunity to be the first in line for the used uniform sale! At the end of the school year, a uniform exchange/used uniform sale will be scheduled. Volunteers will be needed to organize and advertise for the uniform exchange day, and develop an efficient manner for parents wishing to exchange their uniforms to do so.
